WHISTLEBLOWING FAQ

  1. What is whistleblowing and who is a whistleblower?

Whistleblowing is a tool which allows employees or third parties (e.g. suppliers) to reveal confidentially any potential crime noticed during the working activity.

The whistleblower is the person who notices a crime or an irregularity being committed in the working place while performing their duties, and who decides to report it to the company, to a membership organisation or to an authority that may successfully intervene.

The whistleblower is protected by the regulation. For further information, please check the Whistleblowing Policy (Regulation) which is available on the website.

  1. How can I send a report?

The system Segnalazioni.net allows two ways that can be used simultaneously or not, depending on the decisions made by the Whistleblowing Manager:

Registered User: you create an account through which you log in to your reports using a username and a password (chosen by you). In this case your identity is available to the recipient in charge, but it is separated from the report and hidden.

Unregistered User: you create the report and log in to it using the codes released by the system. You need to remember code and password because if you forget them you will no longer be able to log in to your report. If you state your name and surname, your identity will remain hidden but it will be accessible only to the recipient of the report. In case you prefer remaining anonymous, if this mode is available, do not mention any reference that may reveal your identity. If you enclose any files, make sure they do not contain any references to your identity, not even in the metadata. If the Manager requests it, you will disclose your identity later through the message area.

  1. By whom and how is my report managed?

Usually, the report is managed by a Whistleblowing Manager, for example the RPCT or other appointed persons, or by a Working Group consisting of different individuals, for example the Supervisory Body. For further details, please see the Regulation (link to the page).

  1. How can I check the progress of my report?

If you are a Registered User or if you provided an e-mail address as UNREGISTERED USER, you will be notified by e-mail in case the Manager needs to ask for further information or clarifications. If you do not receive any notification, please also check your spam folder. In any case, we advise you to log in to your report regularly in order to verify if there are any pending requests or simply to check its processing status. We remind you, for confidentiality reasons, that you should not use your corporate e-mail address.

  1. How can I add information to the report?

After sending the report, you can add information to it by logging in to the report and writing a message in the “messages” area.

  1. Which facts or acts can I report?

There is not a mandatory list of crimes or irregularities that can be the subject of whistleblowing. The reports concerning behaviours, risks, offences or irregularities to the detriment of the public interest are considered relevant.

Whistleblowing does not concern personal complaints of the whistleblower, that are usually regulated by different procedures.

In the form of the report you will find the list of the subjects, please choose one of them. For further details, please consult the Regulation (link to the page).

  1. How is my identity managed?

The reports and the identity of the Whistleblower are strictly confidential. The software hides the identity of the Whistleblower. Access to the identity of the whistleblower is allowed only to the manager of the report through a safety procedure which records the activity and asks for the reason to access the information. If the manager views your identity you will be notified by the platform. The system does not use log systems that allow to trace the identity of the person who sends a report.
